# From scattered spreadsheets to a citywide youth sports operating map.

**Civic Systems & Sports Logistics**
*By Kamilla Gafurzianova · Systems Architecture & Executive Operations*

I built a sport-agnostic relational database and geographic mapping architecture linking 1,520 schools, 419 parks, and 15 active program locations across Los Angeles.

## Strategic Context: Building Civic Infrastructure From Zero

PlayLA expanded across Los Angeles with community momentum, but the operating layer was fragmented: isolated spreadsheets, site-by-site phone coordination, and critical operational details like coach certifications and school logistics living in disconnected silos.

I built the underlying relational architecture: 1,520 schools, 419 recreation parks, and 15 active program locations unified into a structured model that surfaced coverage gaps, streamlined outreach, and gave citywide scale transparent visibility.

### Key Operations Telemetry
* **Schools Mapped:** 1,520 (Educational institutions cataloged and linked across LA districts).
* **Recreation Parks:** 419 (Municipal park facilities mapped for youth sports program delivery).
* **Active Program Sites:** 15 (Flag football clinic locations brought into a unified management view).
* **Field App Delivery:** Bilingual EN / ES (Mobile-first operational resource for coaches, referees, and parents).

## Operating Infrastructure & Deliverables

### 1. Geographic Intelligence & Community Distribution
* **Artifact:** Relational mapping dashboard linking educational facilities with municipal recreation centers.
* **Role:** Made school, park, and recreation center relationships visible across Los Angeles districts, allowing coordinators to pinpoint coverage gaps and plan feeder outreach.

### 2. Centralized Airtable Operations Engine
* **Artifact:** Multi-table relational database architecture with automated status rollups.
* **Role:** Consolidated active program locations, participant rosters, compliance records, coach credentials, and equipment tracking into a single operational interface.

### 3. Automated Data Routing Logic
* **Artifact:** Workflow architecture diagrams and data ingestion pipelines.
* **Role:** Automated data flow from school registrations and field check-ins through compliance validations, eliminating manual data entry overhead.

### 4. Verified Production Stack
* **Artifact:** Modular cloud architecture built for durability and field staff accessibility.
* **Role:**
  * **Airtable:** Relational database layer, roster management, and live reporting interface.
  * **Google Cloud:** Cloud storage and infrastructure backing data operations.
  * **Mermaid.js:** Systems and process flow architecture mapping.
  * **Vite & React:** High-performance bilingual public field application.

---

## Operational Workflow Pipeline
1. **01 Fragmented Growth:** Rapid municipal expansion across Los Angeles outpaced spreadsheet-based tracking and manual site coordination.
2. **02 Relational Model:** Structured 1,520 schools and 419 parks into normalized schemas with geocoded relationships and compliance tracking.
3. **03 Coverage Logic:** Automated feeder-school mapping to identify underserved recreation districts and reallocate coaching resources.
4. **04 Public Field App:** Deployed a bilingual, mobile-first web app for coaches, officials, and parents to access schedules and logistics.

## Strategic Executive Takeaway: Scaling Civic and Youth Sports Operations Requires Relational Data Rigor

Large-scale youth sports and community programs encounter friction when logistics rely on individual heroics and disconnected spreadsheets. Scaling across hundreds of facilities demands a structured relational foundation where facilities, personnel, compliance, and participants are tied together seamlessly.

By architecting a relational operating model for PlayLA, I turned fragmented civic data into an actionable system map. This exact discipline applies to enterprise operations: transforming complex multi-stakeholder workflows into clear, reliable systems that empower teams to execute without friction.
